PURPOSE

Reporting to the Aboriginal Music Program Coordinator, the Aboriginal Music Program Administrator is responsible for providing administrative and clerical support to the Aboriginal Music Program to ensure the program’s effective and efficient operations.

RESPONSIBILITIES

Administrative

  • Prepare and distribute program materials such as printing and collating of contracts, course materials, and marketing materials.
  • Assist with marketing initiatives and research requirements on an as-needed basis.
  • Assist in preparation of funding applications and reporting.
  • Prepare general correspondence and reports.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Prepare facilities for meetings, workshops, and other events.
  • Setup and assist in the coordination of meetings and conferences.
  • Record and distribute minutes, notes, and action items during meetings.
  • Maintain program and project files.
  • Maintain a comprehensive Aboriginal music community database with up to date contact information for Aboriginal artists, industry, media, festivals in Canada and the United States.
  • Update the Aboriginal Music Program website with new copy, images, and other media as required.
  • Arrange travel and accommodations for staff, instructors, and participants.

Outreach and Education

  • Attend and assist in the coordination and promotion of careers in the music industry to Aboriginal youth at career fairs, trade shows, and school presentations.
  • Assist in the coordination of workshops about the music industry.

KNOWLEDGE AND SKILLS REQUIRED

  • Knowledge of the Aboriginal music community and culture,
  • Excellent time management and organizational skills, and working knowledge of office procedures,
  • Self-motivated with proven ability to efficiently manage multiple projects,
  • Works well under pressure, good problem-solving skills,
  • Good oral and written communication skills,
  • Proficiency with Windows, Microsoft Office (Word, Outlook, Excel, Power Point), knowledge of Photoshop and InDesign an asset,
  • Proficiency with office equipment (copier, printer, fax, phone systems),
  • Ability to work flexible hours on occasion, including weekends and evenings,
  • Demonstrated success at working in a flexible, dynamic, fast-paced environment.

PHYSICAL AND MENTAL DEMANDS

  • Will spend long hours sitting and using office equipment and computers.
  • Will have to do some lifting of supplies and materials from time to time.
  • There are a number of deadlines associated with this position.
  • Must deal with a wide variety of people on various issues.
  • Will have duties requiring attention to detail and high levels of accuracy that may necessitate long hours in intense concentration.
  • The Aboriginal Music Program Administrator is located in a busy, open area office and is faced with frequent interruptions and must meet with others on a regular basis.

EMPLOYMENT CONDITIONS

  • This is a part-time, term position at 20 hours per week. Term ends March 31, 2011 with potential for renewal dependant on funding.
  • Compensation is $15 per hour with benefits (after three months of employment).
  • Some travel may be required.
  • The initial three months will be probationary.
